Why a party goes to whoever answers first

A party planner rarely writes to just one restaurant. They find three or four places with a room the right size, send roughly the same message to each, and go with the first one that comes back with something useful: a room that fits, whether the date is open, what it takes to hold it. A reply that shows up the next afternoon is often writing to someone who has already put a deposit down somewhere else. Better food and a nicer room do not change that order of events.

The hard part is when those messages arrive. Planners write after work, after the kids are asleep, from the couch on a Sunday. Your managers are on the floor during service and off the clock after it. Tableify gives that first reply to Nora, the AI event manager, so an inquiry gets a real answer within minutes whether it lands during lunch or an hour after the last table leaves. Nothing about that reply depends on who happens to be working the floor that night.

One Thursday inquiry at 9:47pm, start to finish

Here is how a typical late message plays out. At 9:47pm on a Thursday, a planner sends an Instagram message: a retirement dinner for about 30, a Saturday three weeks out, somewhere with its own space. Your last manager went home at 9:30. Within minutes Nora writes back. She suggests the room that seats a group that size, checks that the Saturday is open without saying a word about who else has booked, and shares the minimum spend you published for that room.

Then she asks for one thing at a time: a name, then a phone number, then an email, then a start time. When the planner asks whether there is a better price for a group, Nora does not make one up. She tells the planner your team will be in touch about the final quote, and she sends your manager an alert by email or text, because a guest asking about price is usually a guest close to deciding.

Once the chat has been quiet for five minutes, Nora leaves a short handoff note on the lead. Whoever opens Tableify CRM at 10am on Friday sees the date, the headcount, the room and the pricing question in one place. Nora never confirms the booking; your team does that, with everything already gathered. The planner, meanwhile, went to bed with an answer instead of silence.

What 369 evening inquiries looked like at one beer garden

The Loreley case study counts it. From May 1 to September 30, 2026, the New York beer garden received 369 party inquiries whose first message arrived after 6pm. 107 of those parties went on to book, for $137,050 of event value. Move the line later and bookings keep coming: 82 parties booked from messages sent after 7pm, and 56 from messages sent after 8pm.

After 9pm alone, 158 inquiries came in and 33 of them booked, worth $40,076 of event value. Even messages sent after 10pm turned into 8 booked parties. Each of those lines includes the later ones, so the after 6pm figure is the whole evening rather than a separate slice of it.

Over July, August and September, the three months the first reply can be measured, the median first reply was 4 minutes in each month, weeknights and weekends included. It is a median, the middle value, not an average pulled down by a few lucky replies.

Fast replies that still sound like your restaurant

Speed only helps when the answer is right. Nora works from your actual rooms and capacities, your published menu and events, and the deposits, minimums and per-person prices you chose to share. When something is not in those facts, she does not guess. Your own written rules beat her defaults wherever the two differ, and you can teach her with up to 200 questions and answers, 20 documents and 50 links.

You decide how much she does on each channel. Instagram, Facebook and texts can each be switched off, set so Nora drafts and your team sends, or set so she answers on her own, and website chat has its own switch. Plenty of owners read a week of drafts before letting her send. Texts begin once your restaurant's own texting number is approved by the carriers.

If a planner asks whether they are talking to a person, Nora says she is the restaurant's virtual assistant and offers to bring someone in. She never asks for card details, never promises a refund and never sets a price.

When your team steps in, Nora steps back

A quick first reply should never turn into two voices talking over each other. The moment someone on your team answers, Nora pauses on that conversation for as long as you choose: 30 minutes, 1, 2, 6, 12 or 24 hours, or until you hand it back. Out of the box the pause is 30 minutes on website chat, Instagram and Facebook and 2 hours on texts, and a reply on any channel pauses all of them.

You can also pick the pipeline stage where your team takes over for good. Once a lead reaches it, Nora stops messaging that planner and your team gets a single "Your turn" alert. Hot-lead alerts go out at most once per lead in six hours, so a planner with five questions does not set off five buzzes on a manager's phone during service. Your manager finishes with the table in front of them, then picks up the lead with the details already in hand.

Tripleseat's price next to a flat Tableify plan

Tripleseat's packages page lists a starting price of $375 per venue per month, with add-ons such as Direct Book and Floor Plans priced individually. Its published service agreement sets a one year first term that renews unless notice arrives 30 days before the end. At that starting price, a single venue spends $4,500 over a year before any add-on.

Tableify starts from $249/mo, month to month, with no commission on any event. The bill does not climb when the calendar fills, so a December packed with parties costs what a slow February does. Deposits and balances land in your own payment account, and our team handles the setup, which takes two to four weeks.

What happens after the first reply

A quick answer starts the conversation; the rest happens on one list. Every inquiry Nora answers lands in one pipeline with its date, headcount and room, and your team moves it from New toward Booked. If a planner goes quiet after a quote, follow-up emails you switch on go out at 2, 5 and 10 days and stop when the guest writes back. Invoices, signed agreements and deposit links are covered on the private event software page.

If more than party inquiries are on your mind, the fit checklist sorts out which problem to fix first. Table reservations and a restaurant website built for you run under the same login, and the AI answers guide covers how planners find you before they ever write.

Questions about Tripleseat and Tableify

How much does Tripleseat cost per month?

As listed on its site in October 2026, Tripleseat starts at $375 per venue per month, with add-ons priced individually. That is $4,500 a year for one venue before any add-on. Tableify starts from $249/mo with no commissions, month to month, and the price stays put however many parties you book. Check tripleseat.com for its current pricing.

Does Tripleseat require a contract?

Tripleseat's published service agreement sets a one year first term that renews unless you give notice 30 days before it ends, unless your order form says otherwise. Tableify runs month to month, at one flat monthly price. There is no renewal date to track and no notice window to miss.

What is Tripleseat software?

Tripleseat describes itself as event management software for restaurants, hotels and venues, covering proposals, contracts, banquet event orders and payments. Tableify puts its weight on the first conversation with a planner. Nora answers the inquiry within minutes, day or night, gathers the details and hands it to your team on one list. The AI event manager page shows how she works.

What is a good Tripleseat alternative for a small restaurant?

For a restaurant with one or two private rooms, the strongest alternative is the one that answers planners before anyone else does. On Tableify, Nora replies within minutes on website chat, Instagram, Facebook and texts, and every inquiry lands on one list for your team. It starts from $249/mo, month to month, with no cut of any event. The private event software page covers the rest of the event side.

Does Tableify answer party inquiries at night and on weekends?

Yes. Nora works the same hours your planners do, which means evenings, late nights and weekends. At the beer garden in our case study, 158 party inquiries arrived after 9pm over five months and 33 of them booked. Its median first reply was 4 minutes in each month measured, July through September 2026. The case study shows where each number comes from.

Will a planner know they are talking to an AI?

If they ask, yes. Nora says plainly that she is the restaurant's virtual assistant and offers to bring someone from your team in. She answers only from the rooms, menus, events and prices you have published, and she never makes up a price or a promise. You can also start her in drafts mode, so your team reads and sends every reply until you trust her.

What happens when my manager wants to take over a conversation?

Your manager just replies. Nora pauses on that conversation straight away, for 30 minutes to 24 hours or until you hand it back, and a reply on one channel pauses every channel. You can also set a pipeline stage where your team takes over for good. After that, Nora stays out of the thread and your team gets one alert saying it is their turn.

Can I move my open inquiries over from Tripleseat?

Yes. Our team brings your open leads and past parties into the Tableify pipeline when you start, so nobody works from two lists. Parties already booked, with deposits taken, can stay where they were paid until the event is done. Setup takes two to four weeks, and our team does the building, as the website builder page explains.
